When you think about running something as complex as a PMO, it is important to have a set of tools and meetings to drive your organization. PMOs of all shapes and sizes often have some key components that are similar from company to company. The goal of having a PMO toolkit is to provide the tactical resources to PMO leaders to help them in their day-to-day execution of their PMO.
Wait…Wait… Before we continue…
Before we can give you a series of tools for your PMO, you must determine the type of PMO you are running. For example, a Directive PMO will have very different tools than a Supportive PMO, which will be different again from an Agile PMO. So, before rushing off and creating or purchasing a ton of tools for your PMO, you must ensure you know the type of PMO you are running and then create or gather those tools for that type.
As a reminder, let’s look at the top PMO types today.
As you look at these types of PMOs in this graphic, you need to have conversations with your leadership team on the type of PMO needed in your organization. Because without knowing the type of PMO, you can’t possibly no the tools or services you will offer.
So, what would be some PMO tools you need if your executive team suggests you run a Supportive PMO? Well, let’s look at those now.
Here is a list of suggested tool for a Directive PMO.
When running a PMO, most PMO leaders have a set of tools they use every day. This could be a favorite dashboard, a scheduling tool, it really just depends on what they are trying to accomplish. But, most PMO leaders do need tools to help them run their PMOs. I have rooted myself in Microsoft products and all of my PMOs have been Microsoft based, but not everyone has access to Microsoft products. I understand that, and why I decided to cover these tools & templates from a perspective that they can be built using Microsoft or Google’s suite of products. The software is not what is in question; it is the tool itself that is more important.
Ok, now what I want to do is go into each tool and give you a sample and some best practices around using them. In some cases, I have some eBooks and some links that will provide you with much more information about the tool.
Let’s review.
